What the GEM Time employee app collects, why it collects it, and who can see it.

In short: the app records when you clock in and out, and where you were when you did. That information belongs to your employer and is stored on the GEM Time system your employer uses. It is never sold, never used for advertising, and never shared with anyone outside your employer and GEM IT Solutions Group as their technical supplier.
Your employer decides what is recorded about you, how long it is kept, and who inside the company may see it. In data-protection terms your employer is the controller of that information.
GEM IT Solutions Group LLC supplies and operates the GEM Time software on your employer's behalf. We process the information on their instructions; we do not use it for our own purposes.
If you want to know what your employer records about you, or you want something corrected or removed, speak to your supervisor or HR department first — they administer the system. If they cannot help, contact us at support@gem-itsolutions.com.

Your phone will ask your permission before the app can read your location. If you refuse, the app still works and — unless your employer has turned on workplace geofencing — you can still clock in and out normally.
If your employer has turned on geofencing, a punch will only be accepted when your phone reports a position within the radius your employer set around the workplace. In that case a punch without a usable location is refused, and you would need to use the time clock at your workplace instead.
Location is read once per punch, in the foreground, while the app is open on your screen. The coordinates are stored with that punch so there is a record of where the shift started and ended.
We do not disclose your information to anyone else unless your employer instructs us to, or the law requires it.
Information is stored on the GEM Time server operated for your employer. Everything travels between your phone and that server over an encrypted HTTPS connection. Passwords are stored only as cryptographic hashes — nobody at GEM IT Solutions or at your employer can read your password. Access to the system requires an account, and the system is backed up daily.
Your employer decides. Attendance and payroll records are normally kept for as long as employment and tax law requires them to be kept, which in most of the jurisdictions we serve is several years. When your employer instructs us to delete records, we delete them.
Depending on where you live and work, you may have the right to ask what is held about you, to have mistakes corrected, to have information deleted, and to object to certain processing. Because your employer controls this information, ask them first — they can act on most requests directly in the system.

GEM Time is a workplace tool. It is not intended for, and not directed at, anyone under 16, and accounts are created by employers for their staff.
If we change how the app handles information we will update this page and change the date at the top. Material changes will also be communicated to the employers who use GEM Time.
